Who we are

Experience North Ltd (‘we’ or ‘us’) collect, use and are responsible for certain personal information about you. When we do so we are regulated under the General Data Protection Regulations which apply across the EEA (including the United Kingdom until at least 31 December 2020) and we are responsible as ‘controller’ of that personal information for the purposes of those laws.

On B2B bookings where we act as the facilitator or tour agent, we are the ‘processor’ of personal information and the responsibility with that personal data remains with the original booking operator / tour operator or business that is using our services.

If you give us information about another person, you confirm that the other person has appointed you to act on their behalf and agreed that you:

Marketing

We will ask whether you would like us to send you marketing messages on the first occasion that you provide any relevant contact information (i.e. on tour booking, purchase, signing up to a newsletter, entering a competition etc). WE WILL NEVER SHARE YOUR DATA WITH OTHER COMPANIES FOR MARKETING PURPOSES. NOR WILL WE SELL OR RENT YOUR DATA TO THIRD PARTIES.

You will only receive marketing from our own company & brands owned by us. These are Experience North Ltd, Newcastle Tour Company, Liverpool Tour Company and Ancestry Concierge.



What information we require & what purposes this is used for

The provision of the following information may be required from you:

  • Name (of party leader only)
  • Date of birth (for international travel bookings booked by us or age restricted activities only)
  • Email address (for booking confirmation)
  • Dietary requirements (for vital interests on food/accommodation travel bookings by us only)
  • Passport details (for international travel bookings by us only)
  • Telephone numbers (mobile for information / location on day of travel / should we need to contact you during your tour/travel booking purposes only)

This is to enable us to do the following:

  • For day tour booking purposes
  • For accommodation booking purposes
  • For vital interests information
  • For international transport booking purposes (e.g. ferry operations)

We will inform you at the point of collecting information from you, whether you are required to provide any of the above information to us.

Please note: Should you provide us with personal information for someone other than yourself, you are responsible for obtaining their consent prior to sharing this personal information with us.

Please note: Parental consent is required for us to process personal details for any individual who is under 18 years of age, you are responsible for obtaining this consent prior to sharing this personal information with us.



How long your personal information will be kept

We will hold your personal information for the following periods:

  • A maximum of 2 years

These periods are no longer than necessary in each case.



Keeping your information secure

We have appropriate security measures in place to prevent personal information from being accidentally lost, or used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.
